Key Takeaways
- Treat your profile as a record Gemini can read directly. Gemini draws public information from Google Maps, and your Business Profile is what Maps holds about you. No copy elsewhere is needed for that route.
- Expect the Maps route only on questions that name a place. Google describes the model reaching for Maps when a question has geographic context. A question about a keynote, a price or a fit goes to web pages instead.
- Remember the asker controls one of the switches. Gemini Apps Help says public information from Google Maps is used only when Keep Activity is on. Search is available either way.
- Set the primary category to the words buyers actually type. Google says local results turn on relevance first. A leadership coach listed as a consultant is answering a question nobody asked.
- Put the reasons on your website, not in the profile. A profile tells Gemini where you are and when you are open. It cannot tell Gemini who you are right for, and that is the sentence that gets a coach recommended.
Gemini can read your Google Business Profile. That makes it the only major assistant with a documented line into the listing most coaches set up once and forgot about.
But the line only opens for certain questions, for certain people, and it carries a narrower set of facts than most owners expect.
Here is how Gemini uses your Google Business Profile, when it does not, and what is worth changing because of it.
How Gemini uses your Google Business Profile
Gemini reaches your Google Business Profile through Google Maps. Google's own help pages list Maps among the Google services Gemini automatically draws public information from, and your profile is the record Maps holds about you.
Google's developer documentation for Grounding with Google Maps is the clearest description of what comes back. When a question has geographic context, the model can call a Maps tool that returns places, reviews, photos, addresses and opening hours, and it writes its answer from that data with links back to the Maps listings it used. Google puts the database at over 250 million places.
That is a real difference from ChatGPT. A Business Profile reaches ChatGPT only secondhand, when the same facts appear on a directory or a page it can read. Gemini does not need the copy. It has the original.
The developer page describes the API rather than the consumer app, so treat it as the best public account of the mechanism rather than a word-for-word description of what happens when your buyer types into Gemini on a phone. The consumer help page confirms the connection. It does not publish the decision rules.
Two routes into one answer
Gemini has two ways to learn about a local business: the Maps route, which reads your profile, and the Search route, which reads web pages. Which one a question takes depends mostly on whether it names a place.
"Public speaking coach near me" has a place in it. So does "business coach in Denver". Those are the questions where your profile can be the source. "Who can help me prepare a keynote in six weeks?" has no place in it at all, and it goes to the Search route, where your profile is irrelevant and your website is everything.
-
Public speaking coach near me
- Place in the question
- Keep Activity on
- Category matches
Maps route open. Your profile can be read.
-
Best public speaking coach in Denver
- Place in the question
- Keep Activity off
- Category matches
Search route only. Your web pages carry it.
-
Who can help me prepare a keynote in six weeks?
- No place named
- Keep Activity on
- Category matches
Search route only. Your web pages carry it.
-
Leadership coach in Denver
- Place in the question
- Keep Activity on
- Listed as a different category
Maps is used, but a better-matched profile gets read.
The four rows in the figure are illustrative, and each one turns on a single condition. In the first, all three are true and your profile can be read. In the second, the asker has Keep Activity off, so only Search is used. In the third, no place is named, so only Search is used. In the fourth, the route opens but your profile is listed under a different category from the one the buyer asked for, so a better-matched profile is the one that gets read.
| Route | What it reads | When it is used | What you control |
|---|---|---|---|
| Google Maps | Your Business Profile: place, address, hours, photos, reviews | Questions with geographic context, when the asker has Keep Activity on | Category, services, description, hours, photos, and how you ask for reviews |
| Google Search | Indexed web pages, including your site and pages about you | Every question, including when Keep Activity is off | What your pages say, in the words buyers use, and where else you are described |
| Neither | What the model learned in training | Background knowledge, often out of date | Almost nothing directly, which is why the two live routes matter |
When the Maps route stays closed
The Maps route stays closed in three common situations: the question names no place, the person asking has Keep Activity off, or your profile is listed under a category that does not match what they asked for.
No place in the question. Google's developer page says the Maps tool behaves much like searching on Maps, so a "near me" question uses the asker's location while a specific or non-local question is unlikely to be affected by it. Most coaching questions are not local. Buyers ask about outcomes, prices and fit, and none of those route through a map.
Keep Activity is off. This one surprises people. Gemini Apps Help, read on September 13, 2026, says Gemini automatically uses public information from Google Search, Flights, Hotels, Maps and YouTube, and that for Flights, Hotels, Maps and YouTube, Keep Activity must be on. Search is available even when it is off or the person is signed out. So two buyers typing the same question can get answers built from different material, and you cannot see which kind of buyer you had. Google can change this setting's scope, which is why the date is on the sentence.
The category does not match. Google's tips to improve your local ranking say local results turn mainly on relevance, distance and how well known a business is, and relevance is how well a profile matches what someone searched for. A leadership coach whose primary category is "Consultant" is not the obvious match for "leadership coach in Denver", however good the coaching is. Google does not say Gemini's Maps route ranks places exactly the way Maps does, but it would be strange if the match mattered less there.
What the profile can and cannot tell Gemini
The profile can tell Gemini where you are, when you are open, what category you are in and what reviewers wrote. It cannot tell Gemini who you are right for, what you charge and why, or what happened to your clients, and those are the reasons a coach gets recommended rather than merely listed.
That split is covered field by field in whether your Google Business Profile affects AI answers, and it holds for Gemini too. What changes with Gemini is only the route. A profile field is read straight from Maps instead of from a copy, so an error in it travels faster and reaches the answer unchanged.
Reviews are the partial exception. Google's developer page mentions answers based on Google user reviews, and review text can carry a reason: "she got me through a board presentation in three weeks" is a sentence about fit. A star average is not. So the profile carries reasons only when your reviewers write them, which is an argument for asking better questions when you ask for a review, not for asking more often.
For everything else, Gemini goes to the Search route and reads pages. How it weighs those pages, and why it names the businesses it can describe with the most confidence, is in how Gemini decides which businesses to recommend.
What to change this week
Four changes, in order: fix the primary category, write the description as one plain sentence about who you help, keep hours and service area exact, and move every reason a buyer should pick you onto a page on your own site.
Category first. Pick the primary category that uses the words your buyers type, and add secondary categories only where they are true. This is the lamp you control completely.
Description as a sentence. "Public speaking coach in Denver for executives preparing keynotes and investor pitches" is a sentence Gemini can use. A paragraph about your passion for transformation is not. Google's guidelines ask for your real business name, so keep the keywords out of the name and put them here.
Hours and service area exact. If you see clients by appointment only, say so. A profile claiming 9 to 5 for a coach who works evenings produces a confident, wrong answer, and Gemini repeats it as fact.
Reasons on your website. This is the one that moves the questions that matter most, because it is the only route that is open for every buyer and every question.
Here is the damaging admission. If you coach online and your buyers never name a city, the Maps route will rarely open for you, and a week spent perfecting the profile is a week not spent on pages. Give the profile twenty minutes. Local questions are a different game, and the difference is laid out in how AI answers "near me" questions.
Then check what happens. Ask Gemini your buyers' questions twice, once naming your city and once not, and write down who gets named each time. For ChatGPT, the free check does that first pass for you: 25 real buyer questions from your niche at $0, with a plain-English readout of your score, who got named in your place, and the one fix to start with. It runs as soon as you ask for it, and the report lands within the hour between 7am and 5pm Central, or by 10am the next morning outside those hours.
Questions we hear the most
Does Gemini use my Google Business Profile?
Yes, for questions that name a place. Gemini draws public information from Google Maps, and your Business Profile is the record Maps holds about your business, including your address, hours, category, photos and reviews.
Is Gemini different from ChatGPT here?
Yes. Gemini can read Google's own place data directly. ChatGPT has no documented access to your Business Profile, so profile facts only reach it when they also appear on pages it can read.
Why does Gemini mention my competitor's profile and not mine?
Usually because their primary category matches the question more closely, or their profile carries more detail and reviews. Google says local results turn on relevance, distance and how well known a business is.
Does the Keep Activity setting really change the answer?
It can. Gemini Apps Help says public information from Google Maps is used only when Keep Activity is on, while Google Search is used either way. The same question can reach your profile for one person and not another.
I coach online with no office. Does my profile matter to Gemini?
Less than you would hope. Most of your buyers never name a place, so the Maps route rarely opens. Keep the profile accurate in twenty minutes and spend the rest of the week on web pages.
Should I add keywords to my business name so Gemini finds me?
No. Google's guidelines ask for your real business name, and a stuffed name risks the profile itself. Put the words buyers use into the category, the services list and the description instead.
How do I find out what Gemini says about my business?
Ask it your buyers' questions twice, once naming your city and once not, and note who gets named. For ChatGPT, the AnswerHalo free check asks 25 real buyer questions at $0 and emails a plain-English readout within the hour.
Does the AnswerHalo audit cover Gemini?
Yes. The $500 audit asks the same 25 questions across five AI tools, Gemini included, so you can see whether you lose a question on Gemini alone or everywhere. It lands in your inbox by this time tomorrow.
Your buyers are already asking. Find out what AI tells them.
